Description
We’re looking for a talented and proactive Shared Services Lead to join our team at Samsara Eco; someone who takes genuine pride in owning the day-to-day experience of our Jerrabomberra site.
Key Responsibilities
Shared Services & Operational Support
- Coordinate shared services across office and lab areas, ensuring environments are functional, tidy, and stocked.
- Act as the go-to person for onsite day-to-day support, shared resource needs, or local troubleshooting.
- Liaise with the Head of Technology Operations (e.g., facilities and logistics) and Lab Leads (e.g., lab consumables and support) to align on services, supplies, and priorities.
- Coordinate service providers for cleaning, waste management, office upkeep, and onsite deliveries.
- Support general freight, courier bookings, and local delivery logistics across teams.
- Liaise with the WHS Manager to ensure the site remains compliant with all safety protocols, regulations, and audit requirements.
- Maintain orderly, efficient shared spaces that reflect Samsara’s collaborative working culture.
Lab Consumables & Logistics
- Manage the ordering and coordination of lab consumables, PPE, and day-to-day lab operational supplies.
- Maintain stock levels and track inventory to ensure timely replenishment.
- Support inbound and outbound sample logistics, including packing and local shipping coordination.
- Liaise with lab teams to ensure operational needs are met without overlapping into technical or safety responsibilities.
Office & Administrative Coordination
- Oversee administration tasks including shared calendar coordination, booking systems, documentation, and internal communications.
- Manage office, kitchen, and uniform supplies to ensure availability and alignment with team needs.
- Assist with purchase order processing, invoice tracking, and basic finance workflows.
- Support light IT logistics (e.g., device peripherals, workstation readiness) in coordination with the IT Systems Lead.
- Work collaboratively with the Office Manager in Sydney to ensure alignment across all Samsara locations.
- Coordinate onsite logistics for deliveries, guests, and team events.
Onboarding & Culture Support
- Prepare new starter workspaces, site access, welcome kits, and coordinate local onboarding logistics.
- Organise or assist with team activities, celebrations, and volunteer days to strengthen onsite connection.
- Contribute to a friendly, inclusive, and smooth day-to-day experience across the Jerrabomberra location.
- Serve as a reliable point of contact for operational needs that sit between functions.
Qualification & Requirements
- Certificate or Diploma in Business, Office Management, or related field (e.g. Cert IV in Business, Diploma of Leadership & Management)
- WHS certification is a plus, but not essential
- 5+ years’ experience in site operations, coordination, or shared services, with a track record of being the go-to person who keeps people, spaces, and processes connected
- Exceptionally organised with strong prioritisation, follow-through, and attention to detail
- Own the office and lab spaces with pride—ensuring they’re stocked, tidy, and welcoming
- Confident communicator who works well across teams and functions
- Comfortable using ordering systems, spreadsheets, calendars, and basic finance tools
- Practical, proactive, and solutions-focused—you spot what needs doing and just get it done
- Professional, discreet, adaptable, and grounded in service
