Description
The Head of Business Services provides leadership and direction for all business services and administrative support functions at UOB LIVE. The role ensures effective management of office administration, facilities, and government registrations to support smooth daily operations and organizational efficiency, with a focus on business process improvement and automation.
This position also provides oversight of compliance, quality management, and corporate governance by coordinating with external legal counsel to ensure the company remains compliant with Thai laws, regulatory standards, ISO requirements, and group policies.
Key Responsibilities
Leadership & Strategic Oversight
- Lead and manage the Senior General Administration Manager and Administrative Team, which includes procurement.
- Foster a high-performance culture emphasizing accountability, service, and operational excellence.
- Actively contributes to company leadership and cross-functional forums.
- Support continuous improvement initiatives within the Business Services function.
Business Administration & Procurement
- Oversee general administration, including office services, and company-wide administrative support.
- Ensure timely completion of government registrations, license renewals, and signage tax compliance.
- Monitor service quality, cost efficiency, and resource allocation.
- Provide regular reports and updates to the General Manager and executive team.
- Support cross-departmental projects with administrative and operational input.
- Manage the company’s procurement function, including vendor sourcing, evaluation, and contract negotiations.
- Establish and enforce procurement policies and procedures to ensure transparency, cost-effectiveness, and compliance with company standards.
Business Process Improvement & Automation
- Analyze and redesign current workflows to improve efficiency, accuracy, and scalability.
- Identify and implement automation opportunities to reduce manual processes.
- Collaborate with all department heads (HODs) to support seamless integration and system adoption.
- Lead change management efforts, including user training, SOP development, and troubleshooting.
- Business Process Improvement & Automation using Notion’s databases, templates, and automation features to streamline processes and minimize manual effort.
- Lead change management initiatives by developing Notion-based SOPs, documentation hubs, and user training resources; provide ongoing support and troubleshooting.
Compliance & Risk Management
- Ensure company operations align with Thai regulations and corporate governance standards.
- Oversee ISO 9001 and internal compliance readiness, including SOP/work instruction governance, audits, and risk registers.
- Identify and mitigate risks impacting business services and operational continuity.
Policy & Governance
- Develop, implement, and maintain policies and procedures within the Business Services scope.
- Support internal audits, documentation control, and management reviews.
- Ensure effective communication and staff awareness of updated procedures.
Legal & Quality Management
- Coordinate with external law firms for contract, agreement, and corporate document review.
- Ensure timely renewal and compliance of corporate licenses, permits, and registrations.
- Act as a liaison with external auditors, regulators, and government agencies.
- Actively support internal and external audits, ensuring the leadership team is briefed and participates.
- Manage all insurance and legal administration matters in coordination with Legal Counsel.
- Communicate effectively and transparently with all stakeholders to ensure legal, compliance and risk mitigation.
General Responsibilities
- Build, develop, and maintain positive relationships with all stakeholders.
- Comply with all government legislation, codes, standards, and statutory obligations.
- Ensure all work practices are carried out in a professional, ethical, and efficient manner.
- Deliver communication in an open, transparent, and culturally sensitive manner.
- Treat all team members with respect, fairness, and professionalism.
- Be punctual and maintain reliable attendance at work.
- Ensure grooming and presentation are professional and respectful at all times.
- Perform other duties as requested by the General Manager.
- Be flexible and willing to assist with other reasonable duties as required.
Qualification & Requirements
- Bachelor’s degree in Business Administration, Management, or a related field (Master’s degree preferred).
- Minimum 8–10 years of experience in business services, administration, or operations.
- Proven experience in managing administrative operations, office facilities, licensing, and registrations.
- Exposure to compliance, policy governance, ISO, or audit processes (preferred, not required).
- Experience coordinating with law firms and handling corporate contracts/documents.
- Strong leadership, organizational, and problem-solving skills.
- Fluent in Thai and English, with strong written and verbal communication skills.
