Description

The Associate Director of Shared Services oversees and manages the operational aspects of centralized healthcare support functions for the following departments; Call Center, Referrals, Prior Authorizations, and any additional ancillary services, ensuring efficient and effective service delivery to multiple departments within Equitas Health. This position focuses on optimizing processes, reducing costs, and improving quality while adhering to regulatory compliance and industry best practice. The Associate Director of Shared Services ensures employees on these teams are providing quality services to patients, health centers and ancillary departments. The position participates in development and implementation of new initiatives and regularly conducts review for existing workflows and makes recommendations for change as needed. This position collaborates with other departments in implementing new policies and processes for these critical support areas of the health centers and ancillary services.

Key Responsibilities

Essential functions of the job include, but are not limited to: supervising; relationship building; traveling; driving and having reliable transportation; utilizing computer applications or other automated systems such as spreadsheets, calendar, email and Epic (EMR) in performing work assignments.

  • Manage the day to day operations of the shared services department to provide centralized support to health centers and ancillary services. Ensure all service levels are met and policies/procedures are followed.
  • Identify and implement process improvements to enhance efficiency and effectiveness, potentially including automation or technology integration.
  • Ensure adherence to relevant regulations and guidelines. Monitor and maintain quality standards.
  • Communicate effectively with all stakeholders, including clients/patients, customers, vendors, other departments and leadership.
  • Analyze data to track performance, identify trends, and prepare reports. Initiate quality improvement (PDSA) to improve process and performance.
  • Knowledge of HRSA, PCMH and other regulatory compliance standards. Ensures the department is demonstrating compliance. Conducts monitoring and audits accordingly.
  • Carry out supervisory responsibilities in accordance with Equitas Health’s policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning and assigning work; appraising performance; addressing complaints and resolving problems.
  • Sets performance standards and expectations for the department and monitors delegated activities.
  • Develops necessary job aids and documentation to assist employees in the proper performance of assigned activities.
  • Supports implementation of regulatory standards and requirements. Responds to gaps/opportunities in these areas.
  • Designs, collaborates and supports standardization of processes and organizational policies.
  • Partners with leadership and operational teams to ensure key performance indicators and metrics are achieved.

Qualification & Requirements

Education/Licensure

  • Associate or Bachelor’s degree in nursing.
  • RN preferred. LPN considered.

Knowledge, Skills, Abilities and other Qualifications:

  • Minimum of 5 years experience in healthcare management.
  • Demonstrated exemplary customer service skills.
  • Experience with EPIC or other Electronic Health Records preferred.
  • Proficiency with Microsoft Office (Access, Excel, Word and Outlook).
  • Strong written and verbal communication skills a must
  • Must have sensitivity to, interest in and competence in cultural differences, HIV/AIDS, minority health, sexual practices, and a demonstrated competence and interest in working with persons of the transgender community or non-gender conforming community
  • Regular and predictable attendance is required
  • Must have reliable transportation and valid driver’s license.
