Department Information
The Associate Controller is responsible for multiple areas in financial accounting and reporting operations. This position encompasses a wide range of financial management duties, including accounts payable, travel, general ledger, treasury, and grants accounting.
Additionally, the Associate Controller provides leadership and oversight for key financial functions such as accounts receivable, capital assets, benefits reconciliation, and financial reporting. Reporting directly to the Controller, this role ensures regulatory compliance, enhances operational efficiency, and contributes to the organization’s fiscal integrity.
Job Summary
The Associate Department Director assists with the overall budgetary, financial, operational, and personnel functions of an administration or academic department. Associate Department Director’s formally directs the work of employees (FLSA exempt and FLSA non-exempt positions). The position acts for the Department Director in their absence. The Associate Department Director reports to a Department Director.
Key Responsibilities
- Prepare or approve journal entries as appropriate.
- Ensure compliance with applicable laws, policies, generally accepted account principles and organization procedures.
- Assist in implementing new GASB pronouncements affecting areas or responsibility.
- Compile and analyze financial information to prepare entries to accounts, documenting business transactions.
- Perform day-to-day treasury functions, including administrator functions for the online banking portal.
- Ensures a strong system of internal control, including segregation of duties, monitoring access, and review of required reconciliations.
- Assist with periodic and annual reporting responsibilities including but not limited to Budget to Actuals, Transparency in Government Act, Budgetary Compliance Reporting, Schedule of Expenditures of Federal Awards, and Annual Financial Report.
- Assist with or direct preparation of audit schedules and other audit information as requested;
- Review, investigate, and correct errors and inconsistencies in financial entries, documents, and reports.
- Serve as backup for centralized payroll and benefit funding.
- Participate in and submit recommendations for improving the organization’s accounting operation.
- Assist in monthly and annual close procedures.
- Assist in developing policies and procedures.
- Perform analysis to determine trends, estimates, and significant changes and write narrative reports explaining findings.
- Serve as the backup for Controller.
- Provide guidance and supervision for other staff within Business Services.
Qualification & Requirements
Required Qualifications
- Master’s degree in a financial-related field or CPA required.
- Over five years of related experience required.
- At least two years of supervisory experience is required
Knowledge, Skills, & Abilities
- Knowledge of federal and state laws, rules and regulations impacting higher education and/or public library services.
- Knowledge of process improvement theories and practices.
- Knowledge of Board of Regents policies and procedures.
- Knowledge of University System of Georgia policies and procedures
- Knowledge of budget management principles
- Knowledge of professional and governmental accounting standards.
- Knowledge of the Official Code of Georgia, Annotated.
- Knowledge of best practices in higher education and/or library management.
- Knowledge of computers and job-related software programs.
- Knowledge of Microsoft Office possesses at least an intermediate level of Excel
- Skill in written communication to executive and subject matter experts.
- Skill in collaborating with multiple constituents.
- Skill in decision making and problem solving.
- Skill in interpersonal relations and in dealing with the public.
- Skill in oral and written communication.
- Ability to respond diplomatically to sensitive and critical issues.
- Ability to effectively multi-task
