Description
This role provides strategic and operational support to the Head of Group Technology & Operations (GTO) in a leading financial institution. It requires a highly experienced professional with deep understanding of executive-level dynamics.
The role is instrumental in enabling the Head of GTO to focus on enterprise-wide priorities by ensuring smooth functioning of the office, managing sensitive communications, and coordinating across diverse stakeholder groups.
The role will also oversee a shared service team of executive administrators supporting other senior leaders within GTO, ensuring consistency, quality, and operational excellence across the function.
Key Responsibilities
Executive Office Management
- Manage the day-to-day operations of the Head of GTO’s office, maintaining a structured, agile, and responsive environment that anticipates needs and mitigates disruptions.
Strategic Administrative Support
- Provide high-level support including calendar orchestration, board-level meeting preparation, regulatory engagement logistics, and travel coordination across jurisdictions. Ensure all activities align with strategic priorities and executive commitments.
Stakeholder Engagement & Communication
- Act as a key liaison between the Head of GTO and internal/external stakeholders, facilitating clear, timely, and tactful communication. Represent the office with professionalism and discretion in all interactions.
Confidentiality & Discretion
- Handle highly sensitive information with discretion, including risk reports, regulatory correspondence, and strategic transformation plans. Exercise sound judgment and ethical integrity in all matters.
Initiative Execution & Follow-Through
- Support the implementation of departmental initiatives by tracking progress, coordinating cross-functional inputs, and ensuring timely follow-up on critical action items.

Executive Admin (EA) Team Management
- Lead and manage a centralized EA model supporting senior leaders across GTO, ensuring consistent service delivery, professional standards, and alignment with organizational priorities.
Process Standardization & Best Practices
- Develop and implement standardized processes, templates, and tools for executive support across the team.
Performance & Development Oversight
- Provide coaching, performance feedback, and development planning for the executive admin team.
Capacity Planning & Resource Allocation
- Monitor workload distribution and reallocate resources as needed to support shifting priorities and executive needs.
Qualification & Requirements
Extensive Executive Support Experience
- Minimum 12–15 years of experience in executive support or office management, preferably supporting senior leaders.
Leadership of Administrative Teams
- Proven experience leading and developing a team of executive administrators or support staff in a shared service or matrixed environment.
Operational Excellence & Service Delivery
- Strong track record in designing and implementing standardized processes, tools, and workflows to improve consistency and responsiveness across executive support functions.
Strategic Stakeholder Management
- Ability to engage and influence senior stakeholders, balancing competing priorities and ensuring alignment across multiple executive offices.
People Development & Coaching
- Experience in mentoring and developing administrative professionals, including performance management, career development planning, and capability building.
Resource Planning & Allocation
- Skilled in capacity planning, workload balancing, and resource optimization to support dynamic business needs and executive priorities.
Discretion & Professionalism
- Demonstrated ability to handle confidential and sensitive information with integrity and sound judgment.
Digital Fluency
- Proficient in enterprise tools such as Microsoft 365, and executive reporting platforms; familiarity with workflow automation and collaboration tools is a plus.
