Description
The Shared Services Head will oversee the establishment and operationalization of the shared services model across multiple functions, including finance, HR, IT, procurement, and other support services.
Key Responsibilities
Shared Services Setup:
- Lead the design and implementation of shared services to drive operational efficiency across the organization.
- Develop and execute a roadmap for setting up shared services across various functional areas (e.g., HR, IT, Finance, Procurement).
- Establish governance structures, processes, and performance metrics for shared services.
Project Management:
- Oversee the setup process and ensure timely delivery of the shared services setup, coordinating with internal teams, external consultants, and third-party vendors.
- Identify risks, issues, and mitigation plans during the setup phase and ensure resolution in a timely manner.
- Ensure resources are allocated appropriately to meet project timelines and objectives.
Transition to Go Live:
- Ensure that all required systems, processes, and personnel are ready for the go-live phase.
- Conduct tests and simulations to ensure that all systems, processes, and teams are aligned before the go-live date.
- Monitor the go-live phase to ensure that services are delivered effectively and without disruptions.
Stakeholder Communication:
- Act as the primary point of contact for key stakeholders during the shared services setup and go-live process.
- Provide regular updates to senior management regarding progress, challenges, and any adjustments to the project plan.
- Establish clear communication protocols to ensure smooth transitions across departments and functions.
Continuous Improvement:
- After the go-live, monitor the performance of shared services to identify areas for improvement.
- Drive a culture of continuous improvement and ensure that shared services are constantly evolving to meet business needs.
- Ensure that the shared services operation is scalable and adaptable as business needs change.
Qualification & Requirements
Education:
- Bachelor’s degree in Business Administration, Management, Finance or related field; MBA or equivalent advanced degree is preferred.
- Minimum of 5-10 years of experience managing shared services or business operations, with at least 3-5 years in a leadership role.
- Experience in setting up share services team or organization is a plus.
- Proven experience in setting up or leading large-scale transformation projects, particularly in a shared services environment.
- Strong knowledge of service delivery models, process optimization, and cross-functional integration.
Skills:
- Strong project management skills with the ability to oversee complex initiatives from start to finish.
- Excellent leadership and team management skills.
- Exceptional problem-solving skills, with the ability to identify and address issues quickly and effectively.
- Strong communication and interpersonal skills, capable of engaging and influencing senior leaders and stakeholders.
- Experience with service management tools and platforms is a plus.
- Working knowledge of Continuous Improvement/Agile/Lean Tools
