Description

Under direction of the Governance Board and the management of the Executive Assistant Dean of the School of Veterinary Medicine, the Executive Director will provide leadership and management of the Academic Units Shared Service Center (AUSS-C) which consists of complex business units that deliver services across multiple functional disciplines to provide outstanding customer service and efficient operations.

Key Responsibilities

This is a highly interactive position that requires direct and continuous interaction with all levels of UC Davis administrative leadership, UC Systemwide meetings, and the UCPath Center. The Executive Director represents the eight schools and colleges in organization meetings and at systemwide meetings on matters pertaining to payroll, personnel and system policies and practices. The incumbent is responsible for management oversight of the service center, including its budget, short- and long-term strategic planning, leadership of on-going process improvement, and policy development and administration. Provides advice and strategic consultation to the Executive Assistant Deans on administrative matters. Services as a direct resource to CAOs, senior managers and supervisors, providing high level consultation, leadership, analysis, advice, planning and management. Maintains and develops relationships with clients, peers, central campus units, UCPath and our sister campuses. The Executive Director follows and promotes the UC Davis values and principles of community in all actions.

The incumbent will regularly reach out to CAOs and clients to assess the effectiveness of shared services support and promote ongoing business process improvement. The AUSS-C is a collaborative effort between the colleges and schools at UC Davis to centralize a set of transactional processes and consultative services across the eight units in support of UC Path, UC HR, UC Payroll, Office of Graduate Studies, Academic Affairs, and Personnel and Payroll management systems. AUSS-C expertly performs human resources, leave administration, payroll and personnel transactions in service of these academic units, supporting all employee types: academic (Academic and Fiscal Year), Academic Senate faculty, Academic Federation academics, graduate students, staff, and staff student assistants. AUSS-C is the focal point for UCPath transactions for its academic units to ensure high quality and timely service. AUSS-C provides subject matter expertise to the other shared service centers and is seen as a leader in transactional knowledge in the UCPath system and UCPath Center. The School of Veterinary Medicine provides administrative supervision and support to AUSS-C. The service center improves efficiency, reduces costs, and provides more consistent services across the organization by taking advantage of economies of scale, leveraging technology for automation, standardizing processes, and consistently improving how they deliver services.

Qualification & Requirements

Minimum Qualifications – For full consideration, applicants are encouraged to upload license and/or certification if required of the position

  • Bachelor’s degree in business management, finance or human resources, or an equivalent combination of work experience and education.
  • Five to seven years of progressively responsible experience managing various business operations in a large complex organization. Experience in the principles and practices of business management and effective leadership to ethically manage.
  • Experience working with the principles and practices of leave administration, human resources management, including classification administration and employee and labor relations, including a working knowledge of employment laws and regulations.
  • Supervisory experience and team building skills demonstrated through past performance to effectively recruit, train, evaluate, motivate, resolve problems/conflicts, conduct performance management, and build a productive service-oriented team environment. Ability to develop policies and procedures to ensure consistently high-level and responsive service to multiple constituencies.
  • Strategic planning, analytical and program evaluation skills to provide sound recommendations, continually examine, develop or revise to accommodate change requirements.
  • Outstanding communication skills (oral and written) with a diversity of situational communication styles and demonstrated high level of political acumen.
  • Skills to analyze complex problems or information in an objective manner from a broader UC perspective and derive logical conclusions and use original and innovative approaches and techniques to solve difficult problems with multiple variables.

Preferred Qualifications

  • Management experience in a higher education setting to oversee administrative functions in support of academic programs.
  • Presentation and communication skills to convey information clearly and persuasively in representing the organization to high-level internal and external stakeholders.
  • Knowledge of UC and UC Davis Human Resources, payroll and accounting policy, procedure and practices.
  • Excellent leadership skills including collaboration, coaching, and develop subordinates; ability to build good working relationships.
  • Demonstrated ability to handle extremely difficult or volatile situations/individuals effectively.
