Description

The Enrollment Management Shared Services Center (EMSSC) unit reports to the Vice Provost for Enrollment Management and provides front-line services to students on behalf of all the units within Enrollment Management (specifically, Office of Undergraduate Admissions, Office of Graduate Admissions, Financial Aid and Scholarships, Student Lifecycle Technology, and the Office of the University Registrar), facilitates critical back-office processing, and provides overall project management support and office support for the organization.

Key Responsibilities

40% Student Processing Oversight

  • Oversees all aspects of the EM Student Processing team in conjunction with University and Enrollment Management policies and procedures.
  • Assists with team projects/tasks as needed. Examples include course scheduling changes, transcript receipt entry, scholarship awards, transcript and enrollment certification processing, FA loan and aid adjustments, tuition, fee and residency petition communications, etc.
  • Responds to escalated student processing concerns.
  • Responsible for staying current on all changes in content of information provided in the area and ensuring communication is disseminated to EMSP staff.
  • Creates, updates, and maintains policies and procedures for EMSP and EM Stakeholders as needed.
  • Research best practices in the higher education student services and one-stop areas and makes recommendations for changes at KU.
  • Is the chief point of contact for Information Technology on Enrollment Management Imaging systems and troubleshoots issues as needed.

35% Leadership and Supervision

  • Works collaboratively with designated Enrollment Management staff to determine services provided by EMSP, ensure smooth delivery of processing, imaging and mail services, and determining service timelines, and expectations for all of Enrollment Management.
  • Supervises all EM Student Processing staff including hiring, goal setting and feedback, training, evaluations, and disciplinary/termination as needed.
  • Develop and maintain a training model for new incoming staff as well as ongoing/continuous training for current team members.
  • Train EM staff on technology and processes that the Student Processing team are responsible for (i.e., Perceptive Content).
  • Provides informed recommendations to Unit Leader on policies, processes, and initiatives that align with the department’s goals and institutional priorities.
  • Works with Unit Leader and partner Assistant Director to implement strategic changes for EM.

20% Project Management & Process Improvement

  • Oversees the collection, assimilation, and analysis of data regarding performance of the area and ensures timely dissemination of reports to intended audiences.
  • Utilizes data analysis and proactively reviews current practices to identify opportunities for increasing efficiency or improving service, working with appropriate departmental staff to vet and, if decided to move forward, implement.
  • Assists as needed in ad hoc clean-up projects or special processing requests.
  • Assists EM Project Manager on related projects as needed.

5% Other Duties as Assigned by Supervisor

Qualification & Requirements

Required Qualifications

  • Master’s Degree or Bachelor’s degree plus three years of related experience.
  • Minimum of two (2) years of work experience in higher education.
  • Supervisor experience, as evidenced in application materials.
  • Excellent written communication skills, as evidenced by the application materials.

Preferred Qualifications

  • Full time work experience at the University of Kansas, as evidenced in application materials.
  • Familiarity with Financial Aid and Scholarship, Registrar and Admissions processes and procedures, as evidenced by application materials.
  • One year of experience in ImageNow/Perceptive Content systems as evidenced by application materials.
  • Two years of experience in PeopleSoft/Campus Solutions or similar enterprise student information system, as evidenced by application materials.
  • Two years of experience in interpreting and explaining policies and procedures.
  • Experience in developing and/or delivering training material to staff and colleagues, as evidenced in application materials.
