HR Operations Transformation Japan Lead

Key Responsibilities

  • Provide leadership, contribute to the vision, strategic direction, KPI’s and goals for the TBS People Solutions operations, e.g., Employee Lifecycle Management and Payroll & Benefits Operations
  • Drive global consistency and partnership, transition of services from in country to regionalized de-livery model. Identifying opportunities globally to drive improved business performance, continuous improvement through standardization and harmonization, and enable cost savings to be realized, ultimately improving end-user experience.
  • Drive year on year costs savings in line with the efficiency and synergy targets as per the TBS strategy
  • Drive process standardization, simplification & automation across operations executed by the TBS People Solutions
  • Acts as ambassador of continuous improvement mindset for managed team and enables synergy between Employee Lifecycle Management and Payroll & Benefits Operations Teams
  • Accountable for robust data privacy controls, ensuring all processes and procedures are robust and are built to ensure compliance, regulatory or company requirements, mitigating any risks as they arise. Develop good working relationships with both internal and external suppliers, including third party vendors.
  • Drive a mindset and capability uplift across the Employee Lifecycle Management and Payroll & Benefits Operations teams, developing next generation TBS capabilities require, including having an Enterprise mindset to deliver simplified and innovative customer solutions whilst maintaining high levels of engagement, motivation, and productivity.
  • Establish and manage the relationship with external suppliers and internal stakeholders to understand the business requirements and align with TBS strategy.
  • Jointly drive together with the PS Global Process Champions and Global HR & Payroll Process Owners the harmonization, standardization, and automation of HR processes.
  • Collaborate with IT to maximize the current and future functionality of the IT systems, to meet the as-is and future needs of the business to promote automation and maximize efficiency.
  • Partner with other functions across TBS to drive digital and automation through tools such as RPA and AI, achieving longer term value to Takeda.
  • Build high performance teams and build career path for HR professionals both within TBS and between TBS and the Takeda Global HR organization.
  • Resolve any escalations or issues raised in regard to operational delivery provided to Takeda.
  • In collaboration with other functions in TBS, drive a sustained improvement in our NPS (net promoter score).
  • Manage HR Ops Excellence team, at least 2 direct reports

Additional Information

  • Some travel required (10%) – At least one time business trip required mainly Tokyo – Osaka.
  • Work in office minimum 10 days a month to foster in-office collaboration

Qualification & Requirements

  • University Degree and 10+ years Payroll Operations experience, additional CIPP qualifications preferred.
  • Proven track record in optimizing and delivering of complex employee lifecycle management & payroll operations and services.
  • Significant and demonstrable knowledge and skills in successfully managing a department responsible for multiple country payrolls and employee lifecycle management.
  • Experience managing employee lifecycle management and payroll from within a Shared Services environment is strongly desired.
  • Knowledge in ADP is needed.
  • Comprehensive knowledge and skills in identifying and implementing process improvements.
  • Demonstrable knowledge and skills in utilizing Global payroll providers.
  • Experience of working with the Workday system is preferred but not essential.
  • Experience successfully working with and managing vendors to achieve company goals.
  • Excellent knowledge of and experience managing SOX compliance.
  • Experience of building strategic relationship with a local and global supplier
  • Excellent communication and interpersonal skills (Business English and Japanese fluency are must)
