The Accounts Payable Director reports to the Vice President, Transaction Processing.
Key Responsibilities
- Manage & Develop Team; Own & Update APOrg Chart/Roles & Responsibilities/Job Descriptions
- Monitor Case Dashboard to ensure cases are getting resolved timely; Assist in resolving complex cases; Act as the main point of contact for escalations/ urgent issues from Execs/Ops (ie. United Pass Plan, internet/WEX shut off, Exec Pcard declines)
- Set priorities for AP team based on monitoring of Cases, Concur, Aging & Tasks (Download Invoices)
- Direct Weekly Meetings: 1) AP/Accounting 2) AP/Procurement 3) AP Staff Mtg 4) Tues/Thurs Cash Pacing 5) CFO AP Update
- Tues/Thurs Payment Process- a) review morning payrun estimate prepared by AP Mgr (for Treasury investing) b) Attend Cash Pacing calls (bridge between AP Mgr & Treasury) c) print & mail checks
- Act as the main point of contact for new contract start ups/transitions (meet with contract managers to facilitate set up of new vendors & teach them how to get invoices processed)
- Process improvements-review monthly metrics, identify & implement process improvements (ie. Benefit & Tax payment request templates, start up/transition process, new bank account transition, new pcard transition)
- Ensure receptionist is opening mail & scanning invoices to AP (ie. nothing is in the AP in basket)
- Manage the annual 1099 process.
- Act as the main point of contact for AP and related systems (ie. Concur, SOVOS), review & propose subscription renewals for approval, direct the implementation of new or upgraded systems and ensure the efficient use of existing systems.
- Own & update AP Process Flow documentation, as needed
- Ensure AP Desktop Procedures (SOPs) are maintained & updated, as needed.
- Own & update AP Policies & Procedures, as needed
- Own/ organize AP Sharepoint folders
- Perform other duties and special projects as needed.
Qualification & Requirements
- 8 – 10+ years of strong accounts payable management experience.
- 5 – 7 years of experience with US taxing forms (1099, W9 & 1049)
- C1EPL
- Management / supervisory experience in a shared service model required.
- Extensive knowledge of AP leading practices including vendor management, invoice processing and payment, and purchasing card program administration.
- Deep knowledge and experience in design and analysis of accounts payable processes, systems and controls
- Bachelor’s degree in accounting, finance or a related field required.
- Proficient with Microsoft Office, Accounting, General Ledger and Accounts Payable applications required. Experience with Concur and/or Salesforce (Financial Force Accounting/Certinia) a plus.
